How to Handle Form Submissions: Identity, Fit, Intent, and Urgency

A form submission contains information a visitor chose or attempted to provide, but every field has a different evidentiary meaning. This playbook separates identity, ICP fit, stated intent, urgency, traffic integrity, and treatment so that natural and campaign traffic enter one controlled qualification path.

DEFINITION

What is this about?

Handle a B2B form submission by validating the event first, then evaluating identity, company and application fit, explicit intent, stated urgency, and communication treatment as separate dimensions. Preserve the submitted values and their verification state. Route explicit requests quickly, research missing fit fields, quarantine automation, and honor stop conditions. A completed form is a lead trigger, not automatic proof of authority, budget, opportunity, or purchase.

KEY TAKEAWAYS

  1. Event validity, identity, fit, intent, urgency, and treatment require separate evidence states.
  2. A business email can support identity research but does not prove role, authority, or consent.
  3. Free-text requests often provide stronger action evidence than inferred page behavior.
  4. Natural-traffic and campaign forms should enter the same qualification gate.
  5. Unknown fields remain unknown; required qualification evidence cannot be invented from a complete-looking form.

Who this playbook is for

This playbook is for teams operating contact, request-a-quote, sample, specification, distributor, or meeting forms. It is especially useful when the form serves several audiences and when campaign traffic and organic website traffic must be governed consistently.

1. Preserve the submission before enriching it

A form record should retain what was submitted, when, through which route, under which form version, and with which privacy and communication notices. Enrichment is a separate layer. If a person types “Acme Plant 4” and enrichment later maps the domain to a parent company, preserve both the literal entry and the derived account relationship. Minimum raw fields include:

• submission ID, form ID and version, received time, and page route;

• campaign or referring context when available;

• submitted field names and values;

• consent or preference controls shown and selected;

• technical validation and abuse indicators;

• attachments and free text under appropriate access controls;

• processing status and later correction history. OWASP recommends validating untrusted input with explicit syntactic and semantic rules and warns that validation is not the same as preventing every attack. OWASP - Input Validation Cheat Sheet Treat validation as an integrity control, not as evidence that the person or claim is true. Automated abuse can also produce technically valid submissions. OWASP catalogs automated threats to web applications, while Google's reCAPTCHA documentation describes one mechanism for distinguishing human and abusive activity. OWASP - Automated Threats to Web Applications Google for Developers - reCAPTCHA No single control should be described as perfect. Preserve Unknown when traffic integrity cannot be established.

2. Evaluate six independent evidence lanes

Do not collapse the form into “high intent.” Evaluate: Lane Question Stronger evidence What remains separate Validity Is this a genuine, complete, non-duplicate submission? Stable event, validation pass, credible interaction Identity and commercial purpose Identity Who submitted, and how confidently can the person and company be linked? Verified mailbox, callback, authenticated account, corroborated company evidence Role and authority Fit Does the company, application, geography, relationship, and need meet active ICP rules? Current versioned evidence for every required gate Intent and urgency Lane Question Stronger evidence What remains separate Intent What action did the person explicitly request? Quote, test report, sample, call, distributor inquiry, stated research Purchase approval Urgency What timing or consequence did the person state? Dated deadline, shutdown, tender, installation, or response requirement Importance unless supported Treatment What communication, suppression, privacy, and ownership rules apply? Recorded preference, jurisdictional handling, contract, company policy Commercial fit NIST's Digital Identity Guidelines distinguish identity proofing, authentication, and federation activities in digital systems. NIST - Digital Identity Guidelines A public marketing form normally does not perform formal identity proofing. SellersGPT uses the broader lesson cautiously: claimed identity, verified control of a mailbox, authenticated account, and corroborated real-world identity are different evidence levels. For fit, use the active ICP version rather than free-form intuition. A perfect technical request from a reseller may fail a direct-end-user ICP but pass a distributor ICP. Preserve which relationship model was evaluated. For intent, quote the user's words. “Need your catalog” supports an information request. “Please quote 40 units for delivery by October 15” supports a defined quote request and timing. Neither proves budget approval or final authority.

3. Apply the SellersGPT FORM Decision Record

The FORM Decision Record is an original SellersGPT editorial tool. Field State Evidence required Hard gate? Form validity Pass / Fail / Unknown Integrity and duplicate checks Yes Person identity Verified / Supported / Claimed / Unknown / Conflicted Mailbox, account, callback, or corroborating evidence Policy-defined Required profile completeness Complete / Incomplete All fields required by the active qualification policy Yes for qualification ICP criteria Pass / Fail / Unknown Active ICP version and field evidence Yes Explicit request Defined / General / None / Unknown Submitted words and selected options No Stated urgency Dated / Relative / None / Unknown Sender-provided timing No Treatment Allow / Restrict / Stop / Review Preference and governing rules Yes Owner and due time Assigned / Unassigned Routing policy Yes for response Within SellersGPT, a form submission is a lead trigger whether it arrived from campaign traffic or natural traffic. It can become a qualified lead only if the identity/profile-completeness and agreed ICP gates pass under the active policy. The form's length, visual polish, or selected CTA does not substitute for those gates. Do not compute a weighted total that permits a strong request to override a failed ICP hard gate or stop state. Intent and urgency determine response priority after eligibility; they do not repair qualification evidence.

4. Route by explicit request and unresolved risk

Use a deterministic routing order: 1 Stop unsafe or prohibited processing. Quarantine malicious uploads, abuse, confirmed spam, or restricted treatment states. 2 Acknowledge a valid explicit request. Do not wait for every enrichment field when a credible person asks for time-sensitive evidence. 3 Assign a service owner and due time. Route technical documents, quotes, distributor inquiries, and privacy requests to different owners. 4 Run identity and fit checks in parallel. Missing non-critical enrichment should not erase the request; failed hard gates should not be hidden. 5 Resolve duplicates and existing relationships. An existing customer inquiry should route to the appropriate account team and be blocked from new-prospect outreach or billing treatment. 6 Create the proper state. Lead, research task, qualified lead, customer-service case, partner inquiry, job inquiry, or stop. For an incomplete but urgent form, respond to the explicit need while preserving qualification as unresolved. For example, send a requested safety-data sheet if policy allows, while separately verifying whether the company and application fit. The FTC's data-security guidance emphasizes knowing what personal information is held, limiting what is retained, protecting it, and disposing of it appropriately. FTC - Data Security Those principles support practical form design: collect what is needed for the decision, restrict sensitive free text and uploads, and avoid indefinite retention.

5. Design fields for evidence, not friction

Every field should have a decision use. A useful request-a-quote form might collect work email, company, country, application, product family, quantity or scope, timing, and free-text context. It should not demand confidential budgets or extensive technical details before establishing need. Separate required from optional. Make units and examples explicit. Use controlled vocabularies only where they help routing, and provide “Not sure” or “Other” when the real state can be unknown. Do not force an unknown timeline into an arbitrary month. Record which page or asset led to the form, but do not claim that page proves the request's motivation. Allow the person to state the reason directly. Use server-side controls in addition to client-side validation. Avoid exposing internal qualification labels or scoring in hidden fields that can be manipulated.

6. Illustrative example

Illustrative example. The company, person, fields, and calculations below are fictional. They are not a SellersGPT customer result or forecast. Fictional firm Delta Thermal submits a natural-traffic quote form:

• Name: Omar Vale

• Work email: omar@deltathermal.example

• Application: replacement heat exchanger for a food line

• Quantity: 2

• Timing: “Plant shutdown October 12-18”

• Message: “Need hygienic design documents and budgetary quote by September 5.” The form passes technical validation and duplicate checks. A confirmation link verifies control of the mailbox. Company research supports industry, location, and facility, but the required purchasing relationship field is missing: Delta may be an end user or contractor. Lane State Reason Validity Pass Stable submission, no abuse pattern Identity Supported Mailbox control verified; job role not yet corroborated Profile completeness Incomplete Relationship type missing ICP Unknown Relationship is a hard gate in the active ICP Intent Defined Documents and budgetary quote requested Urgency Dated September 5 response and October shutdown stated Treatment Allow No conflicting stop state Six of seven recorded lanes have a non-Unknown state, but that 6 / 7 = 85.7% completeness measure does not make the record qualified. The ICP hard gate is Unknown. The system creates a lead, assigns a high-priority quote/document task, and opens a relationship-verification task. It does not delay the requested response or invent end-user status.

7. Common mistakes

Treating business email as verified identity It supports research. Mailbox control, person identity, role, and authority remain separate. Letting urgency override a failed hard gate Urgency changes service priority, not ICP truth. Scoring every selected option as intent A dropdown can be chosen accidentally or because no accurate option exists. Preserve free-text context and confirmation. Rejecting natural traffic because no campaign exists Source attribution and qualification are separate. Natural-traffic forms enter the same evidence path. Creating duplicate leads Match existing person, account, active lead, customer, suppression, and open-case records before creating a new entity. Asking for too much Unnecessary personal, commercial, or technical information increases risk and form abandonment without improving the next decision.

8. What this does not mean

• A form submission is not automatically a qualified lead, opportunity, or buyer.

• Identity checks do not prove authority or legitimate commercial purpose.

• Bot controls do not guarantee a human submission.

• A stated deadline is evidence of a deadline claim, not independent proof of urgency.

• This playbook does not replace security, privacy, legal, or incident-response procedures.

9. Common questions

Should free email addresses be rejected automatically? No universal rule is safe. A legitimate consultant, contractor, owner, or small business may use one. Mark company linkage unresolved and verify it according to the active policy. Does a request-a-quote form prove purchase intent? It proves a quote request when the event and sender are credible. It does not prove approved budget, authority, competitive position, or eventual purchase. What if the person submits the form twice? Preserve both events, link them, and decide whether the second corrects, repeats, or expands the first. Do not create two qualified leads for the same unresolved request. What if the form includes an unsubscribe request in free text? Route the stop instruction immediately even if the form also asks for information. Treatment is an independent hard gate.
